How to Use Stardex and CoRecruit for Business Development Coaching

Recently, we teamed up with CoRecruit for a webinar on a practical question: how can recruitment firms use AI to make business development coaching more focused and measurable?

During the session, we demonstrated a workflow using Stardex ATS, CoRecruit, and AI assistants such as Claude or ChatGPT. The goal was to show how search firms can identify where they are losing opportunities, understand what is happening in prospect conversations, and turn those insights into more effective coaching.

How Stardex and CoRecruit work together

Stardex shows what is happening across your business development pipeline: which opportunities are open, won, lost, or stuck. CoRecruit adds the conversation layer, capturing what billers actually say during prospect calls and meetings.

Through their MCP connectors, an AI assistant like Claude can pull from both systems at once, connecting pipeline outcomes to biller behavior without anyone manually cross-referencing CRM reports and call transcripts.

During the webinar, we used this workflow to build a call scorecard, establish a 30-day performance baseline, create targeted coaching plans, and track improvement week over week, working through these five business development coaching problems that come up across most search firms:

1. Lack of pipeline visibility

You know the billers are having business development conversations, but you do not know exactly where opportunities are getting stuck.

Maybe billers are booking plenty of meetings, but few prospects move forward. Maybe proposals go out, but do not get signed. Deals get marked as lost, but the reason logged in the CRM, usually just "lost to a competitor," tells you the outcome, not what the billers could have done differently.

Finding the real answer manually can take hours: running reports, opening individual opportunities, reviewing notes, comparing billers, and looking for patterns across months of activity. In the webinar, we showed how an agency owner could use an AI assistant connected to Stardex to conduct a Monday morning pipeline review without manually going through every opportunity.

The solution from Stardex

Because ATS and CRM data live together in Stardex ATS, you can ask an AI assistant questions about your pipeline in plain language:

  • Where are we losing the most opportunities?

  • What do our recently lost deals have in common?

  • What did we do differently in the searches we won?

  • Which stage has the lowest conversion rate?

Instead of reviewing every record yourself, the AI analyzes the relevant opportunities and surfaces the pattern.

How CoRecruit helps

Stardex identifies the weak point in the pipeline; CoRecruit provides the conversations needed to investigate why it is happening.

2. Lack of visibility into prospect conversations

Once you know where opportunities are being lost, you still need to understand what is happening on the calls.

A weak conversion rate can have several causes: billers talking to the wrong types of companies, showing up underprepared, not asking strong discovery questions, failing to share market insights, or failing to explain why their firm is qualified to run the search.

The problem is that firm partners and managers cannot listen to every phone call, video meeting, and in-person conversation. Reviewing even a week of calls across a small team takes hours.

The solution from Stardex

Stardex narrows the investigation, showing which opportunities, stages, client types, or billers need a closer look.

Say the data shows the team is generating enough first meetings but struggling to move prospects to the proposal stage. That gives the manager one focused question to answer: what is missing from those early business development conversations? The manager no longer has to inspect the entire funnel, just the calls tied to that stage.

How CoRecruit helps

In the webinar, we showed how CoRecruit separated business development calls across phone, video, and in-person meetings from candidate interviews, reference checks, and customer success conversations, allowing the analysis to focus on prospect calls across five team members.

With that call data available, AI can surface recurring patterns, billers not setting a clear agenda, not asking enough about the client's hiring problem, or not demonstrating relevant market knowledge, and point to the exact calls, transcript sections, or timestamps worth a closer look.

3. Lack of a clear coaching standard

Many firms know what a strong business development call sounds like, but that knowledge lives in the heads of their firm partners or most experienced billers.

Without a shared standard, coaching becomes subjective. One manager focuses on rapport, another on discovery questions. Billers get general feedback like "prepare more" or "be more consultative," without ever seeing what that looks like in an actual call. It also makes calls hard to score consistently or compare over time.

The solution from Stardex

Stardex provides the context for connecting a coaching standard to actual results by showing what won opportunities had in common.

As shown in the webinar, the pipeline analysis suggested that stronger preparation was a common pattern among recent wins. The team had arrived with market maps and evidence of similar searches, giving managers specific behaviors they could examine and coach toward.

How CoRecruit helps

CoRecruit makes the scorecard usable at scale by organizing business development calls so they can be evaluated against the same coaching standard.

As we demonstrated in the webinar, we uploaded a transcript from a business development training session to Claude and asked it to create a scorecard, recommend evaluation categories, and score each category out of five. We then created reusable project instructions so future call analyses would follow the same process.

With CoRecruit supplying the call data, billers can be coached against a clear standard rather than a vague sense of whether a call “went well.” That standard should reflect how your firm actually wins business, not a generic sales template borrowed from somewhere else.

4. Lack of targeted coaching

Even when firm partners or managers spot a weakness, they often respond with a team-wide training session, which assumes everyone has the same problem.

One biller might need help preparing relevant examples of candidates. Another understands the market but struggles with discovery questions. A third knows what to do and simply does not follow the process. Without individual evidence, it is hard to tell whether you are dealing with a skill gap, a process issue, or a lack of execution.

The solution from Stardex

Stardex compares pipeline performance across the team, showing which billers are converting opportunities, where individual deals tend to stall, and whether a problem shows up firm-wide or with one or two people. That keeps a single weak call from being treated as a company-wide issue, and stops an individual performance problem from hiding inside the team average.

How CoRecruit helps

Analyzing CoRecruit’s call data makes coaching more targeted by showing how each biller performs across the scorecard’s categories.

In an example during the webinar, the week-over-week report showed that four of the five team members improved after training, while Rep C did not show the same progress. This identified Rep C as someone who might need additional coaching or accountability rather than putting the entire team through another general training session.

Combined with Stardex’s pipeline data, these call insights help firm partners and managers distinguish among skill, process, and will problems. Managers should still review the evidence and exercise judgment before drawing conclusions.

5. Lack of accountability and measurement

Running a training session does not guarantee that anything will change.

Billers leave a workshop motivated, then slide back into old habits a week later. Without a baseline and regular follow-up, there is no way to tell whether the training was applied, which skills improved, or whether better calls actually led to better conversion. This is where most coaching programs quietly break down: the firm delivers the training but never builds a way to reinforce it.

The solution from Stardex

Stardex connects coaching activity to pipeline performance, so firm partners and managers can keep monitoring whether more prospects advance, fewer opportunities stall, and win rates improve after a coaching program begins. That analysis can run regularly rather than a one-time audit, surfacing new bottlenecks as they arise.

How CoRecruit helps

As shown in the webinar, Claude analyzed the previous 30 days of business development calls to establish a baseline, then compared the following week’s calls against the same scorecard. The example showed a score improving from 11 out of 25 to 18 out of 25, making the change in behavior easy to see.

We also explained how the analysis could be automated to run every Monday at 8:00 a.m. and deliver a summary through Slack, email, or Teams, covering team scores, individual progress, recurring weaknesses, and calls worth a second look.

The point is not finishing a training session. It is changing behavior. Comparing call performance with pipeline movement is how you find out whether that is actually happening.

From pipeline data to better coaching

Stardex and CoRecruit play different but complementary roles here. Together, they create a simple coaching loop:

Use Stardex to find the weakest part of the business development pipeline. Use CoRecruit to analyze the conversations behind that stage. Turn the findings into a clear scorecard and coaching plan. Review the most relevant calls with the team. Measure behavior and pipeline results week over week.

It removes much of the manual work involved in finding the right problem, the right call, and the right coaching opportunity, without replacing hands-on management. For recruitment firms, that means business development coaching becomes less subjective, more focused, and directly tied to the outcome that matters: winning more of the right searches.
